This policy covers the Texas Hobby Guild Guild Calendar app ("the app"), available at texashobbyguildcalendar.com and as an installable app on Android. It's a simple events calendar — here's exactly what it does and doesn't do with information.

Calendar and member accounts

You can browse public events without an account. If you create an account, we store your email address, display name, password hash, verification status and saved events. Verification and password-reset emails are sent to the address you provide. We use a secure session cookie to keep you signed in and protect account requests.

Your member profile includes a QR card identifier, attendance records and points separated by game. Staff record event check-in and check-out times. Each points entry records the event, game, points, time and staff member who recorded it. Authorized scanning staff can look up a player using their card and view the selected event’s attendance list.

Camera scanning happens in the staff member’s browser. Video frames are processed on that device; the app sends the decoded card code to the Guild server to identify the member. Camera video is not uploaded by this feature.

You can edit your display name or delete your account in Member Hall. Account deletion removes your profile, saved events, player card, attendance and points from the active database. If you have recorded points as staff, your name remains on those other players’ entries as an audit record. Contact us with questions about your account data.

What stays on your device

Guest favorites and notification preferences are stored on your device. Signed-in favorites are stored with your account so they can follow you between devices. Clearing browser storage removes local preferences but does not delete a member account.

Service operations

The website and member database are hosted by Hostinger. The account service uses temporary verification and reset tokens and security rate-limit records to prevent abuse. Hosting and email services may process technical information needed to deliver the service.

Notifications

If you enable notifications, the app can show you a reminder when an event is happening that day. These are generated on your own device and only appear while the app is open or running in the background — we don't operate a push notification service, and no notification content is sent through any third-party server.

Third-party services

The app loads QR code libraries from jsDelivr and fonts from Google Fonts (fonts.googleapis.com) to display its typography. Like any request to a Google-operated server, this can expose your IP address to Google, governed by Google's own privacy policy. QR libraries are downloaded from jsDelivr; those requests expose connection information such as your IP address. Your card and camera frames are processed by the Guild app rather than sent to the library provider.

Staff access

Calendar editing uses the existing staff passcode. Member scanning uses individual verified member accounts with staff permission. Ordinary member accounts cannot award points or view attendance lists.
